Whether you are an airline, MRO, repair station, distributor, charter operator or aviation procurement team, the same basic principle applies: identify the required component as precisely as possible. A model name alone may not establish fitment. Use approved technical records and your maintenance organisation’s instructions when determining the part required.
Aircraft parts RFQ information to prepare
- Part identity: provide the manufacturer part number (P/N), NSN where applicable, nomenclature and a clear description. State whether an alternate or superseded number is acceptable for review.
- Aircraft and configuration: include make, model, variant, serial or effectivity details when relevant, and the system or position where the component is used. Share only information you are authorised to disclose.
- Quantity and condition: state the quantity and acceptable condition, such as new, serviceable, repaired or exchange, if your procurement rules permit those options. Do not assume condition categories are interchangeable.
- Documentation and traceability: specify the release, conformity, traceability or inspection records your receiving process requires. The available documents depend on the item and source, so confirm them against the quotation.
- Timing and destination: give the required-by date, delivery airport or address, and whether the request is routine replenishment or aircraft-on-ground (AOG). For international delivery, identify the destination country.
- Commercial requirements: note any preferred delivery terms, quote validity, packing requirements or procurement references needed for your internal approval.
How to request aircraft spares by part number or NSN
Send the request with the part number or NSN, aircraft details, quantity and required timeline. If a data plate, existing tag or technical extract is available, it may help resolve discrepancies, subject to your organisation’s information controls. A sourcing review can then check possible supplier routes, quoted condition, documentation, price and estimated lead time.
For an aviation parts supplier enquiry in India, include the delivery city or airport. AllAir Aviation reviews aircraft component sourcing requests across India and confirms supplier availability and logistics assumptions for each quotation. A listing or enquiry does not mean an item is stocked locally or immediately available.
Before approving an aircraft parts quote
- Match the quoted part number and configuration to the requirement.
- Check condition, serial or batch identity, traceability and requested release documents.
- Review origin, export or import needs, shipping route, price and estimated delivery.
- Have the operator’s authorised maintenance and quality personnel decide technical acceptability and installation eligibility.
